How AI Helps in Project Management: A Practical Playbook

"How can AI help with project management?" is a fair question with a boring-but-useful answer: it collapses the keyboard-time around your job. Below is the playbook we hand new PMs on day one — five workflows where AI reliably saves hours, and how to roll them out without creating new risk.

What AI actually does well in delivery

  • Drafting — status packs, emails, plans, kickoff decks.
  • Synthesising — long docs and transcripts into decisions.
  • Reasoning — critiquing a plan or spotting gaps in a RAID.

It does not make decisions, own outcomes, or build trust. Treat those three as the ceiling on where AI belongs in your week.

Five workflows to automate first

  1. Status reports. Paste raw notes and last week's pack; ask for a draft in your house style. Ship in 15 minutes, not 90.
  2. RAID grooming. Feed a meeting transcript and ask for new risks, assumptions, issues and dependencies missing from the log.
  3. Meeting notes → actions. Transcript in, owner/action/due out. Post to Teams or Slack the same hour.
  4. Plan critique. Paste your plan and ask AI to play a sceptical delivery director. Fix the top three findings.
  5. Stakeholder comms. Rewrite the same update for the sponsor, the delivery team, and the exec — one prompt, three tones.
Rule of thumb
If you produce it every week and it fits on a page, AI can draft it. Your job becomes editing, judging and shipping — not typing.

The 30-day rollout

  1. Week 1: pick one artefact. Draft it with AI four times.
  2. Week 2: refine the prompt. Save it to your library.
  3. Week 3: add a second artefact. Share prompts with one peer.
  4. Week 4: measure hours saved. Report the number to your sponsor.
